  • Grounded in your policies

  • Built around Microsoft 365

Works in Teams and SharePoint using Copilot Studio and Power Automate.

  • Human HR in control

Sensitive, ambiguous or high-stakes situations always go to a person.

  • Governance from day one

Access boundaries, testing and auditability designed in before launch.

The problem

Your HR team shouldn't spend its day answering the same questions.

Employees deserve quick, accurate answers. HR professionals deserve time for the work only people can do. Today, a large share of HR capacity disappears into predictable, repetitive enquiries.

HumaFlow adds an intelligent automation layer between your employees and your HR team — resolving the routine instantly and passing everything else to the right person, with context.

Illustration of a shared HR inbox filling up with repetitive questions about holiday, expenses, payday, sickness and parental leave.
  • The same questions, every week

Holiday entitlement, sick pay, expenses, payslips. Important to employees — and almost identical every time.

  • Employees searching through policies

Long documents written for compliance, not quick answers. Most people give up and email HR instead.

  • Knowledge spread everywhere

Handbooks, SharePoint sites, PDFs and inboxes — with no certainty about which version is current.

  • Manual request handling

Requests arrive by email with details missing, then need chasing, re-keying and forwarding.

  • Slow responses

Employees wait days for simple answers while the team works through a growing queue.

  • Experts on low-value work

Skilled HR professionals spend their time on routine enquiries instead of people, culture and complex cases.

HumaFlow Solutions

Six practical ways AI can support your HR team.

Each solution starts with a clear HR operational problem, applies grounded conversational AI and workflow automation, and keeps people in control of decisions.

View full solutions guide

HR Policy Assistant

Clear answers to policy questions, grounded in your approved HR documentation.

  1. The problem

Employees can't find the right policy, so they email HR — and the team answers the same leave, sickness and expenses questions every week.

  2. What the agent does

Answers questions in plain language using only your approved HR documents, and shows the policy section it relied on.

  3. The outcome

Consistent, sourced answers at any hour, and fewer routine questions reaching the HR inbox.

Employee HR Support Agent

A single conversational front door for HR — in Microsoft Teams or on your intranet.

  1. The problem

Employees don't know who to ask or which form to use, so requests arrive in the wrong place, incomplete, or not at all.

  2. What the agent does

Understands what the employee needs and guides them to the right answer, form, process or person — in one conversation.

  3. The outcome

A simpler employee experience and fewer misdirected or incomplete requests.

HR Request Automation

Routine requests captured completely, first time, and sent to the right workflow.

  1. The problem

Employment letters, personal-detail changes and leave queries arrive by email with missing details, then need chasing and re-keying.

  2. What the agent does

Collects the required information in conversation, checks it against your rules and triggers the agreed workflow — with approvals where needed.

  3. The outcome

Complete requests, less manual handling and clear status updates for employees.

HR Knowledge Assistant

Natural-language access to internal HR knowledge for employees, managers and HR advisers.

  1. The problem

HR knowledge is spread across SharePoint sites, handbooks, PDFs and a few experienced people — even HR spends time hunting for the latest version.

  2. What the agent does

Lets people ask questions naturally across approved knowledge sources, respecting the access permissions you already have in place.

  3. The outcome

Faster, more consistent answers and less reliance on a handful of experts.

HR Case Triage

Enquiries classified, summarised and routed — with sensitive matters sent straight to a person.

  1. The problem

Every enquiry lands in one shared inbox, where someone must read, classify and forward it before any real work can begin.

  2. What the agent does

Classifies enquiries by topic and urgency, flags sensitive matters and routes each case to the right team with a structured summary.

  3. The outcome

Sensitive cases reach a person sooner, and specialists spend their time resolving rather than sorting.

HR Workflow Assistant

Connects HR conversations to approved business processes and automation.

  1. The problem

Conversations end with “I'll pass this on” — and then someone manually starts a process in another system.

  2. What the agent does

Links the conversation to Power Automate flows and system APIs to create cases, assign tasks, request approvals and notify the right people.

  3. The outcome

Joined-up processes from first question to completion, with people approving what matters.

Human in the loop

AI handles the repetitive. People handle the important.

HumaFlow automates predictable HR support while making sure sensitive, ambiguous and exceptional situations reach a human HR professional — quickly and with full context. We build tools that support HR teams, not replace them.

Handled by the agent

Repetitive and predictable

  • Policy and process questions
  • Standard, well-defined requests
  • Status updates and reminders
  • Finding the right form or contact

Handed to your HR team

Judgement and care

  • Sensitive or personal matters
  • Ambiguous or unusual situations
  • Exceptions to policy
  • Any decision affecting an employee
  • Escalation by design

Every agent has defined hand-off rules, agreed with your HR team before launch.

  • Context travels with the case

When a person takes over, the conversation and details go with it — no one repeats themselves.

  • Employees can always ask for a person

The agent never stands between an employee and HR.

  • Decisions stay with people

Agents inform, prepare and route. Approvals and judgements remain human.

In Practice

What an HR interaction looks like in the real world.

Annual leave and absence questions

The agent answers from your leave policy, explains how to submit a request in your system and offers to start it.

Example interaction

  • Employee:

Can I carry over unused holiday into next year?
  • HumaFlow agent:

Yes — up to 5 days can be carried over with your line manager's approval, and they must be taken by 31 March. Would you like me to start a carry-over request?Source: Annual Leave Policy · Section 4.2

Human oversight: Disputes, unusual circumstances or anything the policy doesn't cover are passed to HR with the conversation attached.

Employment verification letters

The agent collects the purpose, addressee and details, then prepares a draft from your template for HR to review and issue.

Example interaction

  • Employee:

I need a letter confirming my employment for a mortgage application.
  • HumaFlow agent:

I can help with that. Who should the letter be addressed to, and should it include your salary? Once you confirm, I'll prepare a draft for the HR team to review.

Human oversight: HR approves every letter before it is sent — the agent never issues documents on its own.

Sensitive matter handover

The agent recognises potentially sensitive topics, stops automated handling, shares appropriate support resources and alerts the designated HR contact.

Example interaction

  • Employee:

I'm having a difficult time with my manager and I don't know who to talk to.
  • HumaFlow agent:

Thank you for telling me. This is something a member of the HR team should help with directly, so I've asked an HR adviser to contact you confidentially. In the meantime, the Employee Assistance Programme is available any time.
  • Workflow: Escalated to HR adviser · Marked confidential

Human oversight: This is the escalation point — a person takes over straight away.

Technology & Ecosystem

Built around the tools your business already uses.

Most mid-sized and enterprise organisations already run on Microsoft 365. Rather than introducing another standalone platform for employees to learn, HumaFlow designs HR agents and workflows that fit naturally inside your existing environment.

Outcome over platform

Microsoft Copilot Studio, Power Automate and Microsoft 365 are enabling technologies — not the end product. We start with the HR outcome you need, then configure the right tools to deliver it reliably.

  • Microsoft Copilot Studio

The conversational agent layer — conversation design, knowledge grounding and actions.

  • Microsoft 365

Teams, SharePoint and Outlook — where your employees and HR knowledge already are.

  • Power Automate

Approvals, notifications, tasks and the automated steps behind each request.

  • Microsoft Graph

Secure access to organisational context such as people, groups and calendars.

  • Business APIs & connectors

Integration with HR systems, case management and service desk tools where APIs allow.

  • Enterprise knowledge sources

Approved policies, handbooks and guidance — with the permissions you already manage.

Architecture diagram: Employees and managers interact via Microsoft Teams or SharePoint. The HumaFlow AI Agent (built with Microsoft Copilot Studio) grounds responses in approved SharePoint policies and handbooks, executes workflows via Power Automate and Microsoft Graph, connects to existing HRIS or service desk APIs, and escalates sensitive or complex cases directly to the HR team with full context and audit logs.

Security, Privacy & Governance

Responsible enterprise AI requires more than deploying a chatbot.

HR touches sensitive personal information, employment policies and real people's working lives. Security, privacy and governance are considered throughout how we scope, design, test and deploy every solution — working alongside your HR, IT and data protection teams.

  • Controlled knowledge sources

Agents answer from content you have approved — not the open internet — and show where each answer comes from.

  • Access control

Solutions are designed around your existing identity and permission model, following least-privilege principles.

  • Testing & validation

Agents are tested against realistic and out-of-scope questions before launch, and re-tested when content changes.

  • Human escalation

Clear routes to a person for sensitive, ambiguous or exceptional situations — designed in, not bolted on.

  • Governance & ownership

Defined owners for content, workflows and changes, so the agent stays accurate as policies evolve.

  • Auditability

Conversations, sources and automated actions can be logged and reviewed in line with your policies.

  • Privacy considerations

Data minimisation, retention and data-protection requirements are considered from discovery onwards.

  • Responsible AI

We don't automate decisions about hiring, performance, pay or employment. Those stay with people.

  • Your environment

Where possible, solutions run in your own Microsoft tenant, under your existing security and compliance controls.

Why HumaFlow

Practical HR automation, designed around people.

We combine HR process understanding, conversational AI design and enterprise workflow automation — focused on outcomes your employees and HR team can feel.

  1. 01

    Business-process first

We start with the HR problem, not the technology — and only automate what genuinely improves the process.

  2. 02

    Microsoft-focused

We build around the Microsoft ecosystem many organisations already use, rather than adding another platform.

  3. 03

    Human-centred

AI supports employees and HR teams. It doesn't replace human judgement where judgement matters.

  4. 04

    Practical automation

We focus on well-defined workflows that create tangible operational value, not experiments.

  5. 05

    Designed for scale

Start with one high-value process, prove it works, then extend to new use cases on the same foundation.

Frequently Asked Questions

Clear answers before you book a call.

If you have a specific question about your HR processes, Microsoft environment or governance requirements, we are happy to talk it through.

What is an AI HR agent?
An AI HR agent is a conversational assistant that employees can ask HR questions in natural language — for example in Microsoft Teams. It answers using your approved HR content, can collect information for requests, trigger agreed workflows and hand over to a person when a situation needs human judgement.
Can HumaFlow work with Microsoft 365?
Yes. Our solutions are built primarily with Microsoft Copilot Studio and Power Automate, and can be made available in Teams or on SharePoint. Where possible, they run within your own Microsoft tenant.
Can an agent use our existing HR policies?
Yes. Agents can be grounded in your existing policies, handbooks and guidance — for example documents stored in SharePoint. During design we agree exactly which sources are approved, and the agent shows which source each answer comes from.
Can employees escalate issues to HR?
Always. Escalation paths are part of every design. Employees can ask for a person at any time, and the agent hands over automatically when a question is sensitive, outside its approved knowledge or needs a decision.
Can HumaFlow automate workflows?
Yes. Using Power Automate and connectors, an agent can create cases, request approvals, assign tasks, send notifications and update lists. Actions that matter — approvals, letters, changes to records — keep a person in the loop.
Can HumaFlow integrate with other systems?
Often, yes. Many HR, case management and service desk platforms offer APIs or connectors. We assess what's possible for your systems during discovery and recommend the most reliable integration approach.
Do we need to replace our existing HR systems?
No. HumaFlow adds a conversational and automation layer on top of the systems you already use. Your HRIS, payroll and case management tools remain the systems of record.
How is security handled?
Security, privacy and governance are considered throughout design and deployment: approved knowledge sources, your existing access controls, testing before launch, logging and clear ownership. We work with your IT and data protection teams to meet your internal requirements.
Can we start with a single HR use case?
Yes — and we recommend it. Starting with one well-defined, high-volume process lets you prove value safely before extending the agent to further use cases.
How does a discovery engagement work?
It starts with a conversation about your HR processes. We then map your most frequent enquiries and requests, review your knowledge sources and systems, and recommend a first use case with a clear scope, approach and success measures.
